10,000 hospital rides for TAZ Taxi Stuttgart

Digitalisation simplifies taxi orders

The TAZ Taxi Center Stuttgart and Hospital Klinikum Stuttgart renewed their decades-long partnership in April 2021. Since then, the hospital‘s staff is entering taxi orders to the fms/Austrosoft taxi software directly via the frontend of their LOGBUCH hospital software provided by Berlin-based company DYNAMED. This speeds up the order process significantly, enables fully automatic dispatching and leaves close to zero manual work to TAZ call center agents.

90 percent of orders without post-editing

Wrong trips are reduced to a minimum. “Previously, around 8 out of 10 orders had to be at least partially edited. With the new integration, the maximum of post-editing is one trip out of 10,” Danis Georgiadis, CEO of TAZ Stuttgart, is pleased to say and adds: “9 out of 10 trip orders are now carried out without manual post-editing. With 10,000 trips per year, this is a significant saving in time and money and secures a perfect cooperation for everybody involved.

Henry Weise, head of project management at DYNAMED, points out the simplified and improved order management for taxis using a bidirectional digital realtime integration of the hospital information system (KIS) and FMS fully integrated in LOGBUCH, including optimized usability for the user. “We know that things are time sensitive in everyday hospital life. The software must be designed to be simple and user friendly for the hospital staff,” emphasises Henry Weise.

From 3 minutes to 3 seconds

The first years after the start of the partnership in 2007, the call centre agents took the orders for the hospital trips by phone. “It took the agents up to three minutes per order to enter the vast amount of data required such as ward and patient numbers, names, addresses, etc. This was valuable time for both the hospital staff and the agents,” Danis Georgiadis recalls.

From 2016 onwards, order taking was improved by the developers at fms/Austrosoft providing an interface between the hospital and TAZ Stuttgart. From then on, the hospital staff could take care of the taxi orders. The order was automatically triggered in the fms/Austrosoft taxi software operated by TAZ Stuttgart. However, the agents had to edit many orders due to incorrect entries by the clinic staff. Danis Georgiadis explains: “The ordering process was better than before, but still not fully satisfying.”

At the beginning of 2021, the switch was made to the frontend of the LOGBUCH hospital software. The experts from fms/Austrosoft and DYNAMED worked together intensively to develop a fully digital and optimized integration between the booking platform and the dispatch system.

“Thanks to the simple and yet GDPR compliant handling of patient data in the hospital´s departments, it is now not only possible to initiate taxi orders within seconds at the taxi dispatch center, but the hospital staff is also always informed about the current processing status,” Henry Weise is satisfied. “And thanks to the fully automatic dispatch to the next free taxi driver, 3 minutes have now finally turned to 3 seconds,” says Danis Georgiadis enthusiastically about the simplified and fast taxi ordering.

4,000 courier trips and 6,000 patient transports.

The two clinic locations, Krankenhaus Bad Cannstatt and Standort Mitte, are about 8 km away. About 7,000 employees can order taxis for each department from TAZ Taxi Center Stuttgart. “Since the hospital is the size of a small town, we receive around 10,000 trips a year at our call center,” summarizes the managing director of TAZ Stuttgart. This involves rides for some of the total of 90,000 in-patients and 600,000 out-patients as well as for urgently needed medical material such as blood reserves or medication.

90 percent cheaper

For the hospital and the Stuttgart taxi centre, the cooperation is also a financial success. “The trips by taxi cost way less of what the hospital would have to pay for trips by ambulance. We are talking about a tenth of the cost,” Danis Georgiadis points out the win-win situation.

All trips serviced are automatically processed in the fms/Austrosoft FAKTURA billing solution. TAZ Taxi Center Stuttgart sends one collective invoice to the hospital at the end of each month. The hospital can recover partial amounts via the health insurance companies and simply passes on the adjusted invoices. Here, too, a lot of time and money is saved with smooth digital processing powered by fms/Austrosoft.
